OVERVIEW

As a scientific community grounded in purpose, IFT feeds the minds that feed the world.

The Marketing Operations Specialist will be responsible for supporting department leads in implementing and executing marketing programs across the organization including, but not limited to, inbound / outbound marketing, lead generation, project coordination, list management, email marketing operations management and oversight of performance metrics. Working under the direction of the Sr. Director, Integrated Marketing and Brand Strategy, the specialist will be a key marketing contributor for FIRST, IFT’s annual event and expo, particularly in the areas of audience acquisition, advertising outreach, and on-site marketing execution. Central to this responsibility is ownership of the marketing team’s internal tools, platforms, and processes including the update and development of standard operating procedures and best practices. The person in this position will also facilitate the departmental budget and invoicing processes.

ESSENTIAL RESPONSIBILITIES

  • Partner with departmental leads in supporting company-wide marketing initiatives
  • Assist in the marketing execution of FIRST (IFT’s largest annual event) and other onsite events, as needed
  • Facilitate all aspects of HubSpot including systems administration and creation of marketing assets including, but not limited to, emails, landing pages, forms, and workflows, and act as the technical point of contact
  • Execute and manage list fulfillment for direct mail, email, social, and digital campaigns
  • Engage with the marketing function to improve team operations and processes, including, but not limited to, project management governance, operational reporting, etc.
  • Facilitate invoice fulfilment and the marketing budget, comparing monthly actuals against planned spend and providing reforecasts, as needed
  • Administer and manage IFT’s marketing project management tool, Wrike, including the review of incoming requests, the assignment of resources, and tracking assigned projects through to completion
  • Coordinate promotional trade/bartering proposals, delivery execution, and fulfillment
  • Manage collateral research, fulfillment, and delivery coordination with vendors
  • Facilitate the collection of email, digital, advertising, direct mail, and social metrics to develop insights reports for key stakeholder review
  • Manage production of print collateral, print vendor bidding, and direct mail fulfillment with mailing house and post office and print collateral inventory
  • Create project schedules, communication plans, meeting schedules, and agendas, as needed

EXPERIENCE REQUIREMENTS 

  • Bachelor’s degree in Marketing, Business, Communications, or related area preferred
  • Minimum 2+ years of experience in project management and operations
  • Minimum of 2-3 years in a marketing capacity
  • Demonstrated organizational and project management skills is a must
  • Experience with budget management
  • Experience with event marketing coordination
  • Familiarity with HubSpot or other CRM platforms is preferred
  • Experience with WRIKE or other project management systems is preferred
  • Willingness to learn new programs or applications
  • Familiarity with data integrity and list management
  • Ideal but not required:
    • Experience with a health-, scientific-, or food-related organization
    • Experience with Adobe creative suite and preparing images for web and social
    • Familiarity with Excel for report manipulation
    • Experience in marketing events and working with membership organizations
    • Experience with Personify AMS
    • Familiarity with HTML

COMPETENCY REQUIREMENTS

  • Superior oral and exceptional written communication skills including original writing, promotional writing, editing, and proofreading
  • Strong project management skills with a high proficiency for juggling multiple projects at one time and effectively prioritizing time to ensure deadlines are met
  • Extremely detailed- and deadline-oriented
  • Excellent data integrity management and tendency toward data-driven decision making
  • Demonstrated accountability, a commitment to follow-through and results-oriented

WORK CONDITIONS

  • Travel 5%, domestically and internationally, including the ability to occasionally attend evening, weekend and overnight meetings

    • Ability to exert up to 10 lbs. of force occasionally and/or a negligible amount of force frequently to lift, carry, push, pull, or otherwise move objects.
